Counseling Secretary.
Lane 4 - $19.
53 per hour, 8 hours per day, 5 days per week, 195 days per year.
Must be at least 18 years of age to apply.
Type test is required; contact Human Resources at 801-354-7400 to schedule.
The test will be administered at Nebo School District Human Resources Office located at 350 South Main Street, Spanish Fork, Utah.
Placement on the salary schedule will be reviewed by supervisor and finalized through the Human Resource and Payroll Departments.
Candidates already employed with Nebo School District, applying for a new position with a lane increase, may decrease in overall steps in the new position if offered, accepted, and not in the same job category.
This is a very fast-paced data entry position; no face-to-face student or teacher interaction.
The position will maintain a variety of electronic and manual student information records for 10,000 students.
There is a high turnover rate throughout the year meaning this position will be managing more than 10,000 records per year.
The applicant must be extremely proficient with Google Suites (Google Sheets, Google Docs, Google Forms, Docu-sign).
They also must understand and be very proficient with ICampus and UTREX, and be able to define student enrollment statuses across the state of Utah.
The individual must have knowledge of current high school graduation requirements.
The individual must also be familiar with all required registration documents:
proof of residency, immunizations, assessment documentation, personal documents, home school affidavits, etc.
They must be able to satisfactorily perform functions of the job which include adapting to changing work priorities, meeting deadlines and schedules, and prioritizing workload appropriately.
The individual must be able to complete the tasks in a team setting as well as individually.
The job requires approximately 10% heavy lifting (50 lb boxes); 15% standing; 75% sitting at a computer doing data entry.
Purpose Statement The job of School Counselor Secretary is done for the purpose/s of establishing and maintaining student records; ensuring accuracy of information; documenting activities; assisting counselors; assisting with the testing and home study program; assisting with scholarships and graduation and responding to internal and external inquiries relating to student records.

Education:
High school diploma or equivalent.

Attends meeting as assigned for the purpose of conveying and/or gathering information required to perform functions.
Maintains a variety of student records for school site (e.
g.
grades, transcripts, files, documents, financial aide, SEOP folders, honor roll, SIS, etc.
) for the purpose of documenting and/or providing reliable information.
Performs clerical functions in the counseling office (e.
g.
answering telephone, taking messages, filing, copying, etc.
) for the purpose of providing support to to aid in the efficient functioning of the work unit.
Prepares written materials (e.
g.
reports, memos, letters, minutes, registration materials, etc.
) for the purpose of documenting activities, providing written reference and/or conveying information.
Researches discrepancies for the purpose of clarifying student graduation status and ensuring the accuracy of information.
Responds to a variety of inquiries both written and verbal (e.
g.
requests from students, other districts, colleges/universities and/or employment agencies regarding transcripts, job verification, scholarships, etc.
) for the purpose of providing information and/or direction.
Supervises student assistants for the purpose of maintaining an efficient and orderly office environment.
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.
Job Requirements:
Minimum Qualifications SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions.

operating standard office equipment; assist in planning and managing projects; preparing and maintaining accurate records; and using pertinent software applications.
